Donations

All donations must be processed through CAHNRS Development. When we process the donation, your donor will then receive a tax receipt and be stewarded appropriately by our team. Additionally, this process ensures that we track donations and fundraising accurately.

If you have a question regarding accepting a gift/donation or expect to process donations frequently, please reach out to Jessica Scritchfield. If you have questions about GF (gift) accounts, please contact Britta Nitcy.

What is considered a gift/donation?

A tax-deductible gift/donation is a voluntary contribution where the donor does not require that goods or services be forthcoming from WSU as a condition (implied or otherwise) of the contribution.

Gift Accounts

Donations must go into a GF (Gift) account. Work with your department’s financial manager to see if the donation can go into an existing GF account. If you have a new program or do not have an existing GF account for your program, work with your dept/unit financial manager and Britta Nitcy to see if a new GF account can be set up. If money from an existing GF (Gift) account needs to be earmarked for a specific program a PG account (program/subaccount) can be created to track expenses within an existing GF. Work with your fiancial manager and CAHNRS Finance to set up new subaccounts and for transfers.

We can create a new gift account for your faculty bringing in donations for their program or research. Contact Britta Nitcy.

How to Process Donations

When your office receives a gift, please complete and send a Gift Transmittal and any documentation received with the donation to the CAHNRS Development Office. Also send a copy to your Fiscal Manager if funds need to be transferred to a program (sub account). Please reach out to Jessica Scritchfield, if you have any questions or would like a more in-depth training. Non-Cash Donations

It is very important that non-cash donations are accounted for so donors are recognized properly, encouraging ongoing support and so WSU can track these donations internally. Please complete the non-cash donation process for every non-cash donation you receive. Some of our most common non-cash donations are food and beverages, farm equipment and motors, insects, and cattle or other animals.

Acceptable Non-Cash Donations

WSU cannot accept donations as a tax-deductible gift if the donor still retains a partial interest in or all of the property. Please see the list below or reach out to Jessica Scritchfield if you have questions about what we can or cannot accept as a tax-deductible gift.

Non-Cash Gift Documentation

Non-Cash Gifts require additional documentation compared to cash donations. Please see the Non-Cash Gift Process Instructions document for details. Submit all required documentation and any additional information surrounding the donation to CAHNRS Development.

W-9, Wire/ACH Instructions, or Giving Through Stocks

If you have a donor who needs a W-9, wire/ACH instructions, or instructions to give through stocks please contact Britta Nitcy. Because wires and stock gifts do not always come with much information, Britta can also put through an alert with Gift Accounting to make sure the funds get into the correct account.

Employee Payroll Deduction Program

Employee payroll deduct is a great way to support your program or another you are passionate about. You can give however much you choose for however long you choose. Please fill out the payroll deduction form and submit it to CAHNRS Development.

Donors can donate online through foundation.wsu.edu/give/. All gift funds should be listed within their search function. Development can provide a link that auto-populates with the fund of your choice. Please reach out to Jessica Scritchfield and allow two weeks.
